Why should we have our records managed offsite?

What is your pricing structure and how is it applied?
Storage pricing is based on cubic foot displacement. Pricing levels are based on volume. Service pricing is based on usage and volume. However, we also offer various business packages for those with more moderate needs.
How quickly can I get information delivered to our facility when it is needed?
We are on-call 24 hours a day, seven days a week. On an emergency basis, we can get your data to you within 3 to 4 hours. Simply order your request online or via telephone, email, or fax.
Will I lose control of my paper records and media?
No. If you choose to have Elmwood Records Center maintain control of your records in our records database, you will have access to your inventory through our Activeweb program. You choose the level of detail you require – box, file, tape, etc.
Will our records be kept together in one contiguous area?
No. For efficiency purposes, we put your data in the first available empty space. Our barcode inventory system ensures that your information is scanned to a specific location in the records center. This also provides you with an additional level of security because your data is not stored in one area exclusively.
How do I prepare boxes to go offsite?
ERC will provide you with pre-printed box barcode labels. You will affix the labels to your boxes and call ERC to arrange for a pickup.
How fast can we get our records and will you retrieve them for us?
ERC offers several delivery types to meet your needs. Same-day will be delivered before 5pm if the request is received by 10am. Rush will be delivered within 3 hours for requests placed between 10am and 2pm. Requests made after hours (after 2pm cutoff) will be delivered within 3 hours. We even offer Saturday and Sunday deliveries if requests are placed by 10am, delivery within 3 hours. Retrievals will be on a weekly basis and can be scheduled online or by telephone, email, or fax.
How secure is the ERC records center?
Criminal background checks and drug screening are performed on all ERC team members. ERC is a steel and concrete building that has never been damaged in any hurricane and has never flooded. The building also has over 100 surveillance cameras and a 24/7/365 outside monitoring service.
Does ERB belong to any professional organizations?
Yes, ERC belongs to and supports the principles of ARMA (the Association of Records Managers & Administrators) and PRIAM (Professional Records Information Services & Management).
